All reservations made by through the HakubaHotels.com are subject to the following terms and conditions. We suggest you print these out as a reference.

  1. DEFINITIONS
    1. HakubaHotels.com is owned and operated by JHN Travel Ltd..

    2. A "guest" refers to anyone who uses HakubaHotels.com or JHN Travel Ltd. Website to request a hotel reservation in Japan.
  2. VALIDITY OF CONTRACT
    1. All reservations processed through HakubaHotels.com by JHN Travel Ltd. form a contract only between JHN Travel Ltd. and the guest. This contract is NOT between the hotel and the guest. This contract is deemed to be valid from the time a confirmation of reservation email is sent to the guest's email account given on the reservation request form. Unless the email is returned to JHN Travel Ltd., the email is deemed to have been received by guest. JHN Travel Ltd.'s contract with the guest is valid from the time the email is sent until the time the guest check's in to the hotel. Once the guest has checked into the hotel they are covered by the hotel's terms and conditions.
    2. JHN Travel Ltd. reserves the right to alter these terms and conditions at it's own discretion.
  3. LIABILITY
    1. JHN Travel Ltd. warrants that it will process reservation requests in accordance with accepted industry standards. JHN Travel Ltd. accepts limited liability for any loss due to an error by the staff of JHN Travel Ltd.. Liability is limited to the room charge of the hotel concerned.
      JHN Travel Ltd. is not liable for any of the following conditions:
      1. Confirmation email sent to guest is not received.
      2. Error on part of hotel regarding room rates or room types.
      3. Hotel cancels guest's rooms due to late arrival of guest.
      4. Hotel cancels a reservation due to circumstances outside the control of JHN Travel Ltd.
      5. Guest enters incorrect details on reservation form.
  4. PRIVACY
    1. JHN Travel Ltd. warrants that it will not disclose any information received from the guest to any outside party.
    2. Only information required to confirm reservations is sent to hotels.
  5. PAYMENT
    1. A 20% non refundable deposit is required within 1 week of booking.
    2. Balance is due 60 days before check in.
  6. GUEST RESPONSIBILITY
    1. Guest warrants that they will pay any cancellation penalties stipulated when making a reservation. Cancellation fees are not waived for airline cancellations or delays.
    2. Guest warrants that they will contact JHN Travel Ltd. if confirmation has not been received within 48 hours.
    3. Guest warrants that they will notify JHN Travel Ltd. of any changes and cancellations of reservations.
    4. If guests requests alternative accommodation in cases where their first choice hotel is unavailable, all provisions of these terms and conditions are transferred to the new reservation and a contract is formed when an email is sent to the email address given by the guest.
  7. CANCELLATION
    1. Once a confirmation email is sent, all reservations are fully confirmed, and must be cancelled by the guest if not required.
    2. Cancellations made directly with the hotel are subject to the cancellation policy as per HakubaHotels.com and the JHN Travel Ltd. web sites. This cancellation fee is NOT waived for reservations cancelled directly with the hotel.
    3. By making a request through HakubaHotels.com or JHN Travel Ltd. Website, the guest authorizes JHN Travel Ltd. to deduct any cancellation fees from the guest's credit card.
    4. All cancellation fees are calculated in terms of Japanese Standard Time. Cancellation notification must reach JHN Travel Ltd. by 5PM Japanese Standard Time. Cancellation notification after 5PM Japanese Standard time will be processed on the next business day.
    5. In the event a guest does not arrive at a hotel as per their reservation and JHN Travel Ltd. has had no communication from the guest, all other reservations held by the guest will be cancelled.
    6. Cancellation confirmation is sent by email within 24 hours of cancellation being requested. Guest warrants that they will contact JHN Travel Ltd. if cancellation confirmation has not been received within 24 hours.
    7. Guest warrants they will save cancellation confirmation email and produce it on request.
  8. JURISDICTION
    1. These terms and conditions are construed in accordance with the laws of Japan. Any dispute that arises under or in respect with this agreement shall be submitted to the exclusive jurisdiction of the competent court in Nagano Japan.
  9. GENERAL
    1. By requesting a reservation through the HakubaHotels.com or JHN Travel Ltd. web site the guest is stating  that they have read and fully understood these terms and conditions.
    2. Any event that is not covered by these terms and conditions shall be covered by the general terms and provisions for Travel Agents. (Japanese Version Only)
